Dental Assistant

Job Summary

The Dental Assistant provides patient care, prepares and maintains dental instruments, and ensures the smooth operation of the dental office. They assist the Dentist during procedures, take and develop X-rays, and educate patients on oral hygiene practices.

Reports to: Clinical Manager

Key Responsibilities

Patient Care

  • Greet and prepare patients for treatment.
  • Comfort patients and address their concerns.
  • Educate patients on proper oral hygiene techniques.
  • Provide information on post-procedure care and preventive dental care.

Chairside Assistance

  • Assist the dentist during various dental procedures (e.g., fillings, extractions, and cleanings).
  • Hand instruments and materials to the dentist.
  • Maintain a clear and dry working area for the dentist by using suction or other devices.

Instrument and Equipment Management

  • Sterilize dental instruments and equipment.
  • Set up instrument trays and ensure all necessary materials are available for procedures.
  • Maintain and clean the dental operatory.
  • Clean rooms after each patient appointment.

Radiography

  • Follow safety protocols to protect patients and staff from radiation exposure.
  • Take and develop dental X-rays as needed.

Infection Control

  • Adhere to infection control protocols and maintain a clean and safe environment.
  • Follow OSHA and HIPAA regulations to ensure patient safety and confidentiality.

Qualifications

  • High school diploma or equivalent.
  • Completion of an accredited dental assistant program or equivalent experience.
  • Certification in dental radiography (if required by the state).
  • Experience with Dentrix or Dentrix Ascend systems preferred.
  • Current CPR certification.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and work in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Proficiency in dental software and technology.
  • Knowledge of dental instruments and procedures.

Working Conditions

  • The position requires standing for long periods and working closely with patients and staff.
  • Hours may include occasional evening and/or Saturday shifts.

Dental Receptionist

Job Summary

The Dental Receptionist is responsible for managing the front desk of a dental office, greeting and assisting patients, scheduling appointments, and handling various administrative duties. This role requires excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Patient Interaction

  • Greet and welcome patients in a friendly and professional manner.
  • Check patients in and out for their appointments.
  • Provide information about dental services and procedures.
  • Handle patient inquiries, complaints, and concerns effectively.

Appointment Management

  • Schedule and confirm appointments via phone, email, or in-person.
  • Maintain and update the appointment calendar, ensuring optimal scheduling for patients and dental staff.
  • Follow up with patients regarding upcoming appointments, treatment plans, and recalls.
  • Send appointment reminders and other patient communications as needed.

Administrative Duties

  • Maintain accurate patient records, including personal information and medical history, in the dental software system.
  • Prepare and manage patient files, ensuring all necessary documentation is complete.
  • Answer and direct phone calls promptly and professionally.
  • Relay messages to dental staff and ensure effective communication between the dental team and patients.
  • Manage the office's general cleanliness and organization.
  • Inform Office manager when office supply inventory is low.

Compliance

  • Adhere to all dental practice policies and procedures, including privacy regulations (e.g., HIPAA).
  • Maintain patient confidentiality and security of sensitive information.

Qualifications

  • High school diploma or equivalent required.
  • Additional certification or training in office administration or dental reception is a plus.
  • Previous experience as a receptionist, especially in a dental or healthcare setting, is preferred.
  • Proficiency in using Dentrix preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work in a fast-paced environment.

Job Summary

The Dental Call Center Representative is responsible for providing excellent customer service and administrative support for a dental practice. This role involves managing inbound and outbound calls, scheduling appointments, addressing patient inquiries, and ensuring a smooth communication process between patients and the dental office.

Key Responsibilities

Inbound Calls

  • Respond promptly to patient inquiries regarding appointments, services, and treatment options.
  • Provide information on dental procedures, insurance coverage, and office policies.
  • Resolve patient concerns or escalate issues to appropriate departments when necessary.

Outbound Calls

  • Contact patients to confirm upcoming appointments and remind them of follow-up visits.
  • Follow up with patients regarding treatment plans, billing, or any pending documentation.

Insurance and Billing

  • Assist patients with basic questions regarding dental insurance coverage and claims.
  • Direct patients to the billing department for any complex issues related to payments.

Patient Records Management

  • Update patient records and ensure accuracy of information within the system.
  • Verify and document insurance details and patient demographics.

Customer Service

  • Provide a positive and welcoming experience for patients over the phone.
  • Exhibit patience, empathy, and professionalism while handling calls.

Administrative Support

  • Manage general office duties such as sending appointment reminders and maintaining communication logs.
  • Collaborate with the dental team to streamline office operations.

Qualifications

  • High school diploma or equivalent; additional certifications in customer service or healthcare administration are a plus.
  • Previous experience in a call center, healthcare setting, or customer service role is preferred.
  • Experience with dental or medical software (such as Dentrix or similar) is an advantage.
  • Strong communication and interpersonal skills.
  • Ability to handle a high volume of calls while maintaining professionalism.
  • Proficient in scheduling software and basic computer applications (Microsoft Office, email systems).
  • Knowledge of dental terminology and insurance processes is desirable.

Working Conditions

Job Summary

The Biller is responsible for reviewing, processing, and ensuring the accurate and timely submission of dental insurance claims. This role requires strong knowledge of dental procedures, insurance policies, and claims processing systems to guarantee that claims are filed correctly, and reimbursement is maximized for both patients and the practice. The Dental Claims Processor works closely with dental office staff, insurance companies, and patients to resolve claim issues and verify benefits.

Reports to: Regional Manager

Key Responsibilities

Credentialing

  • Enroll all the providers with all insurances.
  • Keep a record of all updated required documents from the providers.
  • Update management and provider with new insurance policies and fees.
  • Update fee schedules for insurances in Dentrix.
  • Update insurance coverage table per employer.
  • Review and negotiate fee schedules with insurances every 12 months.
  • Ensure the office follows insurances rules and protocols, including dental codes and regulatory requirements.

Claims Processing

  • Accurately process dental insurance claims, including verifying patient information, dental procedure codes (CPT and CDT), and coverage details.
  • Manage patient billing, including processing payments, claims, and insurance documentation.
  • Maintain accurate and detailed records of claims submissions, communications, and insurance responses.
  • Input and update claim information in the practice’s management software system.
  • Ensure that patient records are updated with insurance payment and claim status information.
  • Monitor aging reporting oversee the practice’s accounts receivable.
  • Work closely with the practice’s accountant/bookkeeper to ensure accurate financial reporting.
  • Track and analyze key financial metrics such as revenue patient collection rates.
  • Follow up with insurance companies in regard to approvals.

Insurance Verification

  • Confirm patient eligibility and dental benefits with insurance providers.
  • Verify coverage levels, including deductibles, co-payments, and annual maximums.
  • Ensure the correct application of benefits and coverage for specific procedures.

Patient Communication

  • Assistant patients in understanding their dental benefits, out-of-pocket costs, and claim statuses.
  • Communicate clearly with patients regarding any issues that may affect their insurance coverage or payment responsibilities.

Reporting/Claims Reprocessing

  • Follow up on uncollected claim balance from insurance past 30 days.
  • Generate the Insurance Aging (IA) report from Dentrix.
  • Select the proper past due in order of 90, 60, 30.
  • Send billing statements to patients with balance after all insurance claims have been finalized.
  • Follow up on unpaid billing statements after 30 days from date sent with a phone call and formal letter mailed.
  • Collect patient balance over phone when applicable.
  • Document and update Patient Balance Excel Spreadsheet.
  • Email Insurance Claim Issue report (Excel) to management and rendering provider to focus on additional training.
  • Prepare and email a report monthly to summarize discrepancies from aging.
  • Enter necessary write offs with explanation and document within reports.
  • Resend the non-paid claims with supporting documents.

Qualifications

  • High school diploma or equivalent is required, associate’s degree is preferred.
  • Courses in medical or dental billing and coding preferred.
  • Certificate Dental Coder (CDC) certification or Certified Professional Biller (CPB) strongly recommended.
  • Experience with Dentrix or Dentrix Ascend systems preferred.
  • 1-2 year of experience in dental office or medical billing.
  • Ability to multitask and work in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Proficiency in dental software and technology.

Working Conditions

  • Billers work at our DMI office and will sit for prolonged periods of time.
  • Hours will require occasional evening or weekend hours.
